Smart Planning Pro ("the App", "we", "us", "our") is operated by Matthieu Faniard, operating under the commercial name L'Agape, registered as an auto-entrepreneur in France.
This Privacy Policy explains how we collect, use, share, and protect your personal data when you use the Smart Planning Pro mobile application and related services.
By using Smart Planning Pro, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect
2.1 Account & Profile Information
When you create an account, we collect:
- Name (first and last name)
- Email address (provided via Google or Apple Sign-In)
- Nickname (your @username)
- Phone number (optional)
- User role (athlete, coach, chef, nutritionist, trainer, physiotherapist, or psychologist)
- Profile photo (if you choose to upload one)
- Club affiliation (if you join or create a club)
2.2 Authentication Data
We use third-party authentication providers. Depending on your sign-in method, we receive:
- Google Sign-In: Google account email, display name, and OAuth tokens
- Apple Sign-In: Apple ID, email (which may be a private relay address), and full name (first sign-in only)
- Firebase Authentication UID (a unique identifier for your account)
We do not collect or store passwords — authentication is handled entirely by Google or Apple.
2.3 Health & Wellness Data (Athletes Only)
If you are an athlete, you may submit daily wellness reports containing:
- Mood rating (1–5 scale)
- Physical fitness level (1–10 scale)
- Sleep quality (1–10 scale)
- Pain and injury tracking: body part, sub-area, severity (none to extreme), and notes
- General notes for your coaches or professionals
This data is only shared with the professionals you specifically select as recipients.
2.4 Messaging Data
When you use the messaging feature, we collect:
- Text messages you send
- Media attachments (photos, videos, audio recordings, documents)
- Read receipts (timestamps indicating when messages were read)
- Conversation metadata (participant lists, conversation type, mute/archive preferences)
2.5 Calendar & Event Data
When you create or participate in events, we collect:
- Event details (title, category, date/time, location as text, notes)
- RSVP responses (pending, accepted, declined)
- Recurring event rules
- Invitee lists
Location for events is entered as free text — we do not collect GPS coordinates or precise location data.
2.6 Club & Team Data
When you create or join a club, we collect:
- Club information (name, sport, country, city, logo)
- Membership records (join date, role, status)
- Subscription tier associated with the club
2.7 Connection Data
We store records of connections between athletes and professionals, including:
- Connection requests (who initiated, status, optional message)
- Active connections (linking athletes to their professionals)
2.8 Device & Technical Information
We collect minimal technical data for app functionality:
- Device token for push notifications (Firebase Cloud Messaging)
- Device model and iOS version (included in feedback submissions only)
- App version (included in feedback submissions only)
We do not collect:
- Advertising identifiers (IDFA)
- Precise location or GPS data
- Browsing history
- Data from other apps on your device
2.9 User Feedback
If you submit feedback through the app, we collect:
- Category (bug report, feature request, general)
- Description you provide
- Screenshot (optional, if you attach one)
- Device and app version (for debugging purposes)

4. How We Share Your Data
4.1 With Other Users
Your data is shared with other users only in ways you control:
- Within your club: Club members can see your name, role, and profile photo. Club-wide events and team chat are visible to all members.
- With your connections: Professionals you connect with can see the daily reports you choose to share with them.
- In conversations: Participants in a conversation can see messages, media, and read receipts.
- Event invitations: Invitees can see event details and other participants' RSVP statuses.
There are no public profiles. All data requires authentication and appropriate permissions.

All third-party providers are GDPR-compliant and process data under appropriate safeguards (Standard Contractual Clauses where applicable).
4.3 We Do Not Sell Your Data
We do not sell, rent, trade, or otherwise share your personal data with third parties for their own commercial purposes.
4.4 Legal Requirements
We may disclose your data if required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of Smart Planning Pro, our users, or the public.
5. Data Storage & Security
5.1 Where Your Data Is Stored
All data is stored in the European Union:
- Database (Firestore): Google Cloud infrastructure, EU region
- Media files (S3): AWS
eu-west-3(Paris, France)
5.2 Security Measures
We implement the following security measures:
- Encryption in transit: All data is transmitted over HTTPS/TLS
- Encryption at rest: Data is encrypted at rest on both Firebase and AWS infrastructure
- Access controls: Firebase Security Rules enforce per-document permissions; only authorized users can access data
- Authentication security: OAuth 2.0 for Google/Apple Sign-In; no passwords stored
- Presigned URLs: Media uploads use time-limited URLs (5-minute expiry)
- No anonymous access: All API calls require authentication
5.3 Your Responsibility
You are responsible for keeping your device secure and not sharing access to your authenticated sessions. We recommend enabling device passcode and biometric authentication.
6. Data Retention
- Active accounts: Your data is retained as long as your account is active.
- Deleted accounts: When you request account deletion, there is a 48-hour grace period during which you can cancel. After 48 hours, your data is permanently deleted, including:
- Your user profile and personal information
- Your daily reports
- Your direct conversations (group conversations have you removed as a participant)
- Your calendar events (events you created are deleted; events you were invited to have you removed)
- Your weekly menus (if applicable)
- Your profile photo and uploaded media
- Your Firebase Authentication account
- Your push notification tokens
- Orphaned data: Messages you sent in group conversations may remain visible to other participants but will no longer be associated with your profile.
- Backups: Firebase and AWS may retain encrypted backups for up to 30 days per their standard retention policies.
7. Your Rights (GDPR)
Under the General Data Protection Regulation (GDPR), you have the following rights:

We will respond within 30 days of receiving your request. If your request is complex, we may extend this by an additional 60 days with notice.
If you believe your data protection rights have been violated, you have the right to lodge a complaint with the CNIL (Commission Nationale de l'Informatique et des Libertés), the French data protection authority: www.cnil.fr
8. Children's Privacy
Smart Planning Pro is intended for users aged 13 and older.
- Users between 13 and 15 years old must obtain verifiable parental or guardian consent before creating an account.
- Users aged 16 and older may create an account independently.
- We do not knowingly collect data from children under 13.
If you are a parent or guardian and believe your child under 13 has provided us with personal data, please contact us at support@smartplanningpro.com. We will promptly delete the data.
Parents and guardians of users between 13 and 15 are encouraged to supervise their child's use of the App, particularly regarding:
- Health and wellness data shared via daily reports
- Messaging with coaches and other professionals
- Profile information and media shared
9. International Data Transfers
Your data is primarily stored within the European Union. However, certain third-party services (Google, Apple) may process data in other jurisdictions. When data is transferred outside the EU/EEA, it is protected by:
- Standard Contractual Clauses (SCCs) approved by the European Commission
- Adequacy decisions where applicable
- Provider-specific certifications and safeguards
10. Cookies & Tracking
Smart Planning Pro is a native mobile application and does not use cookies. We do not use any analytics, tracking, or advertising SDKs. We do not track your behavior across apps or websites.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do:
- We will update the "Last updated" date at the top
- For significant changes, we will notify you via push notification and/or email
- Continued use of the App after changes constitutes acceptance of the updated policy
